CallRail
Call tracking and lead attribution for local service marketing
Overview
CallRail is call tracking and lead attribution software. It swaps a tracking number onto your website, records and transcribes calls, tracks form submissions and shows which campaign produced each lead. It is a marketing measurement tool, not a full phone system or field service app, so it fits businesses that spend on ads and want proof of what works.
Pros and cons
What we like
- Shows which campaigns generate calls and form submissions
- Call recording and transcription on every listed plan
- 14-day free trial with no credit card required
Watch out for
- Local numbers, minutes and texts are capped per plan, with usage fees beyond the cap
- Form tracking and conversation intelligence sit on higher plans

Our full review
In short
CallRail connects marketing campaigns to the conversations they produce. It tracks calls and texts by source, records calls and creates AI transcripts, tracks form submissions, and offers an AI voice assistant that answers and qualifies inbound calls. It integrates with platforms including Google Ads, Google Analytics, Salesforce, HubSpot and Meta.
Is CallRail worth it for a trades business?
CallRail pays for itself only if marketing spend is large enough to need measurement. A plumber or roofer who runs paid search and local service ads can see which ads produce calls, which keywords produce booked jobs, and which calls were low quality. A business that gets work only from referrals gets little from it.
CallRail says it serves small and mid-sized businesses, marketing agencies and enterprises across industries, so it is not built only for trades.
How does CallRail call tracking work?
CallRail inserts tracking numbers dynamically. You install a JavaScript snippet on your site, and when a visitor arrives from a tracked source the snippet swaps in the matching number. Each call is then linked back to the campaign and keyword that brought the visitor, and recordings and transcripts show what was said.
What do the CallRail plans include?
CallRail's pricing page lists four main plans: Lead Tracking, Lead Tracking Complete, Lead Conversion and Lead Conversion Complete, plus a separate AI Voice Assistant product. All four main plans include local numbers, local minutes, text messages, call recording and routing, and call transcription; the differences are form tracking and conversation intelligence.
| Capability | Lead Tracking | Lead Tracking Complete | Lead Conversion | Lead Conversion Complete |
|---|---|---|---|---|
| Call recording, routing and transcription | Included | Included | Included | Included |
| Form tracking | Not included | Included | Not included | Included |
| Conversation intelligence | Not included | Not included | Included | Included |
| Call summaries and sentiment analysis | Not included | Not included | Included | Included |
| Automatic conversion tagging | Not included | Not included | Included | Included |
What are the usage limits?
Each plan includes a fixed set of local numbers, local minutes and text messages, and the Complete plans include a set number of form submissions. Going over is billed per unit as overage. That matters for a busy trades office: one call-heavy ad campaign can use up the included minutes.
Who it's for
CallRail suits a trades business or agency that buys leads and needs to show which ad produced each call. Conversation intelligence on the higher plans flags intent and buying signals, which helps a dispatcher prioritize callbacks.
Who should look elsewhere
Look elsewhere if what you need is a team phone system with shared lines and extensions: CallRail is positioned as call tracking and lead engagement software, not a phone system. For that, see Aircall, Quo or RingCentral. If you need a human to answer every call, see Answering Service Care. If you want the phone, calendar and invoicing in one place, see Workiz.
Voice Assist
CallRail's AI Voice Assist answers calls around the clock, qualifies leads and books appointments. It is sold as a separate product on the pricing page, and the vendor lists it alongside, not inside, the four main plans.
Limits to know
CallRail measures, it does not run the job: it has a lead center for managing leads but no scheduling, estimates or invoicing. Entry-level plans exclude form tracking and conversation intelligence. We noticed that the vendor's homepage and pricing page show different starting amounts, which is one reason we have not recorded a price in our table: confirm the current figure on the pricing page.
What to check on pricing
Estimate your monthly local minutes, texts and form submissions against each plan's allowance, and ask about overage. Our pricing table shows "vendor site" for CallRail because we have not recorded a verified amount; see /tools/callrail/pricing.
Alternatives and when they fit
- Aircall if you need a team phone system with shared numbers and routing.
- Quo if you want a simple business phone and texting app.
- RingCentral if you want phone, video and messaging in one suite.
- Workiz if you want field service software with a built-in phone system and call tracking.
- Podium if your main goal is texting leads and collecting reviews.
How we reviewed it
We read CallRail's homepage, pricing page, features page and call tracking page. We did not use review sites for feature claims, and we left out figures such as the number of customers or leads connected, which we cannot verify.
